ISO 9001 Clause 7.3 - Awareness
This clause requires the organisation to ensure that all staff are of the quality policy, objectives and their contribution to the quality management system, in addition to the implications of not conforming to its requirements.
What Does ISO 9001 Clause 7.3 Require?
Clause 7.3 of ISO 9001:2015 requires the organisation to ensure that people doing work under its control are aware of four things: the quality policy; the relevant quality objectives; their own contribution to the effectiveness of the QMS, including the benefits of improved performance; and the implications of not conforming to QMS requirements.
The standard does not require staff to have memorised documents or be able to recite clauses. What it requires is a genuine surface-level awareness - people should know that a quality management system and quality policy exist, understand broadly what that means for their work, and know what happens if they don't follow the required procedures.
How to Build and Evidence Awareness
Awareness can be built and demonstrated through a range of approaches. Induction is the most common starting point - ensuring new staff are introduced to the quality policy, relevant objectives and their role within the QMS from day one. The F-Q4 Staff Induction Record provides a structured way to document this. Beyond induction, ongoing awareness can be maintained through toolbox talks, team briefings, annual reviews, and making the quality policy and objectives accessible to all staff.
The alphaZ toolkit includes an ISO 9001:2015 Awareness Training Presentation that can be used to deliver initial or refresher awareness sessions, along with an IMS Awareness Certificate Template to record completion.
For Clause 7.3, I don't expect anyone to have memorised sections of a quality manual. What I do expect is a basic awareness that there is a quality management system in place and that it matters. I'll ask a few members of staff directly - do they know what the quality policy is, do they know what their quality objectives are, do they know what would happen if they didn't follow a procedure? If nobody can give me a reasonable answer, that's a nonconformity. A copy of the induction record and a quality policy displayed somewhere accessible goes a long way.
The induction process is the most reliable way to build awareness from day one. If the F-Q4 induction record includes sections covering the quality policy, quality objectives and the employee's role within the QMS, then Clause 7.3 is addressed systematically for every new starter. Beyond induction, an annual review that revisits these points - and a quality policy that is visible and accessible rather than buried in a folder - keeps awareness current without requiring ongoing formal training sessions.
Make sure staff know the quality policy exists and broadly what it says, make sure they understand their role in maintaining quality, and make sure they know what to do if something goes wrong. Cover this in induction, keep the policy somewhere visible, and revisit it at annual reviews. That covers Clause 7.3 for most organisations without any additional overhead.
Practical Compliance Guidance
To comply with Clause 7.3, the organisation needs a consistent approach to building awareness of the quality policy, objectives and QMS requirements, with records showing this has been done for each person.
Awareness can be faciliated at the point of induction for new staff, or for existing staff, through sharing a presentation and completing a read-understood form.
Training/toolbox talks are also an option for raising awareness amongst staff of the management system.
