Update Details: The F-HR1 Employee Personal Details form has been reviewed and improved and a number of new versions with on-form record retention have been added.
The form has been updated to include a bolder start/end formatting around the section for recording emergency contact details and a statement on retention has been added; 'Personal Data Retention: Delete all content from this section immediately after employee departure' to ensure anyone responsible for record management is aware that this personal data does not need to be retained after an employee leaves the company and ensure compliance with data protection regulations.
On-form Record Retention Summary - as well as the update to the default form a number of new versions have been added which all include an on-form record retention summary and bolder section formatting so that the personal data retention for each section of the form is detailed on the form allowing everyone to know the retention requirements without having to consult with a personal data register / Record of Processing Activity.
A, B and C versions of the form include this on-form retention summary and the content has also been organised so can simply use a different form for personal data with a different retention period to allow the file to be deleted rather than having to edit the form when records are to be deleted.
